The Department of Information Science is seeking a Lead Chair’s Assistant who will work closely with the Chair and Director of Administration to ensure the smooth operation of administrative functions. The primary focus of this role is to oversee faculty recruitment, tenure processes, and various administrative tasks crucial to the department's success.

Key Responsibilities

Faculty Recruitment: Act as the lead contact, advocate, and resource for all department faculty searches. Manage the administrative aspects of faculty recruiting processes.

Tenure and Promotion: Manage all aspects of the tenure, promotion, and faculty reappointment process, ensuring accuracy and compliance with university policies.

Faculty Leaves: Track and facilitate faculty leaves, maintaining clear communication with relevant stakeholders.

Administrative Support: Delegate administrative tasks to support staff within the department, ensuring efficient workflow.

Travel Coordination: Organize travel arrangements for faculty candidates, colloquium speakers, and process travel reimbursements.

Communication Management: Coordinate and manage complex communication and correspondence on behalf of the chair's office, demonstrating professionalism and attention to detail.

Data Research: Research and compile data and materials for meetings, reports, and other administrative purposes.

Event Organization: Organize and oversee meetings, conferences, and departmental events, contributing to the department's collaborative and dynamic environment.

Calendar Management: Manage and maintain the Chair's calendar, proactively managing deadlines and scheduling priorities.

Technology Operations: Operate technology for remote meeting attendance, utilizing tools such as Zoom, Skype, etc.

Representative Duties: Represent the Chair and Administrative Director as needed in their absence, maintaining a professional demeanor.

Project Management: Manage or assist with large-scale projects for the department and/or college, demonstrating strong organizational and problem-solving skills.

Faculty Retreat: Organize the annual faculty retreat, fostering a positive and collaborative environment.

This is a full-time (39 hours/week) endowed position that is based in Ithaca, NY. During the academic year, this position follows a 3:2 campus-to-home hybrid work schedule. During breaks when students are not on-campus, this position can be performed 100% remotely. In the summer, this position will work on campus one-day per week. This hybrid work schedule is subject to change at any time. Typical work hours are 9am-5:30pm Monday through Friday, but these hours are subject to change at any time.   

What We Need

We are looking for a team member who is highly organized, self-motivated, and collaborative.

Additionally, you will: 

Hold an Associate's degree and 4 to 6 years relevant experience or equivalent combination.
Demonstrate effective written communication.

Have excellent customer service skills and the ability to work in a team environment, as well as independently.

Utilize written/verbal communication skills to independently compile data for and draft a variety of communications for Chair.

Have the aptitude to organize, retrieve, format, and export data from multiple sources to develop ad hoc and standard reports.

Be proficient in Excel, Word, PowerPoint, Outlook. Experience with Cornell systems a plus (AJO, Workday, KFS, Concur).

Demonstrate sound judgment.

Be able to understand, interpret, and apply relevant policies to position requirements.
